About you

The Sr. Executive Assistant will provide executive level administration and operational support to the President & CEO as well as other senior executive team members under the direction of the Senior Director of Administrative Services and Board Relations. Support activities include, but are not limited to, calendar management, scheduling/planning meetings, expense management, communications, preparing reports and presentations, organizing and analyzing information, arranging travel, and completing other administrative duties to ensure the efficiency of the executive team. Required characteristics include the ability to interact seamlessly with a professional demeanor, exemplary time management skills, critical thinking, ability to act without guidance, and the ability to identify and anticipate executives’ needs, and is approachable and respectful. This position has access to confidential information, and maintaining confidentiality is essential.

What You’ll Be Doing:

Calendar, Travel, and Expense Reports:

  • Manage the complex calendar of the President & CEO and other senior executive staff, to include the scheduling of meetings, travel entries, and identification/resolving of conflicts
  • Coordinate extensive travel.
  • Prepare and reconcile expense reports, including submission of the President & CEO’s expenses to the chairperson of the Board.

Reports and Projects:

  • Provide assistance with the compilation and review of communications as well as various reports and documents.
  • Compose and/or edit correspondence, reports, spreadsheets, charts, graphs, and presentations ensuring accuracy and timely completion.
  • Send emails on behalf of the President & CEO.
  • Conduct research and assemble and analyze data to prepare reports and documents.
  • Assist with other projects as assigned.

Corporate Support:

  • Communicate/collaborate with team regarding executive administrative tasks, demonstrating accuracy and attention to detail, timeliness, efficiency, professionalism, responsiveness, and follow-through on issues.
  • Design of meeting/dinner invitations, distribution, and tracking.
  • Manage season tickets.
  • Review correspondence and other documents to ensure accuracy, quality, and professional appearance.
  • Review contracts in preparation for signature of senior executive staff.
  • Enter purchase requests.
  • Manage division supplies.
  • Copy/scan and distribute materials. ·

Meeting Support:

  • Ensure recurring meetings are scheduled on executives’ calendars and address any conflicts.
  • Coordinate internal and external meetings.
  • Prepare meeting agendas, attend meetings, and prepare meeting notes as needed.
  • Some travel may be required.

The Ideal Candidate:

Education:

  • High School diploma required
  • B.S degree or relevant experience preferred.

Experience:

  • Five to eight years executive administrative experience including two years professional experience supporting a president/CEO at a corporate level..

  • Exercise independent judgment in determining what matters can be individually handled or referred to a management team person for direction/completion.
  • Comfortable with new technology, including virtual meeting platforms, and demonstrated experience with Microsoft Programs (Outlook, Word, Excel, PowerPoint) and keeps abreast of changes.
  • Learns new programs quickly.
  • Ability to take meeting minutes.
  • Maintaining confidentiality is necessary.

The starting hourly range for this full-time position in Irvine, CA is $33.66 - $40.87 per hour. This base pay will take into consideration internal equity, candidate’s geographic region, job-related knowledge and experience among other factors. Origence maintains a highly competitive compensation program. Under company guidelines, this position is eligible for an annual bonus to provide an incentive to achieve targeted goals. Bonuses are awarded at company’s discretion on an individual basis.
